Who we are

FileNest is operated by FileNest Ltd in New Zealand. Contact hello@filenest.co.nz for anything privacy-related.

What we collect

• Account information: name, email, phone (optional), profile photo.
• Property documents you upload (LIM, Title, S&P, building reports, and similar).
• Buyer form-fills: name, email, phone (optional), and the listings each buyer accessed.
• Compliance metadata: timestamps, IP address, user agent for every document view and download.
• Billing handled by Stripe. We do not store card numbers.
• Authentication handled by Clerk.

Why we collect it

We need this to deliver the service: route documents to buyers, alert agents, generate vendor dashboards, produce REA-compliant audit logs, and bill correctly.

Where it lives

Convex on AWS for the database and file storage. Clerk for authentication. Stripe for payments. Resend for email.

Your rights under the Privacy Act 2020

You can ask us at any time to see, correct, or delete the personal information we hold about you. Email privacy@filenest.co.nz and we will respond within 20 working days. Deletion is honoured within 30 days, except where we are required to retain audit records for REA compliance.

REA and Privacy Act compliance

Every document access is logged. Agents can download the audit log on request. The REA Sale and Purchase Agreement Guide and the Code of Conduct Guide are emailed to every buyer the moment they unlock a file pack.

Cookies

We use essential cookies for authentication and to remember your preferences. We do not use third-party tracking cookies.

Breaches

In the unlikely event of a notifiable privacy breach, we will notify affected people and the Office of the Privacy Commissioner within the timeframes set by the Privacy Act 2020.
